Job Description Summary

The Property Administrator will play a crucial role in the management and operation of our commercial properties. This position involves overseeing day-to-day activities, ensuring compliance with regulations, maintaining tenant relationships, and supporting the overall efficiency of property operations.

Job Description

Responsibilities:

§ Assist in the management of commercial properties, which include office buildings, retail spaces, and industrial properties.

§ Liaise with tenants for collection of rent and accounts reconciliation.

§ Maintain and prepare weekly accounts receivable aging report and explain arrears, recommending bad debt allowances and write-offs to the General Manager.

§ Manage late payment actions, including follow-up communications and documentation.

§ Address billing inquiries from tenants and provide timely resolutions.

§ Generate miscellaneous invoices and manage collections effectively.

§ Prepare and distribute rental set-ups as needed, ensuring accurate documentation.

§ Reconcile the rent roster on a monthly basis for accuracy and compliance.

§ Prepare Rental Letters and Welcome packages for new tenants.

§ Assist in tenant onboarding and orientation processes to enhance tenant satisfaction.

§ Manage the Accounts Payable process efficiently to support financial operations.

§ Process invoices in a timely fashion ensuring coding complies with budgets and maintain purchase order tracker.

§ Set up new vendors in ServiceEdge.

§ Prepare year end prebills and annual/monthly accruals.

§ Maintain and update tenant contact information.

§ Assist in collecting tenants and vendors insurance certificates.

§ Liaise with building operators while assisting with resolving tenant matters/requests.

§ Maintain effective relationships with vendors, contractors, and service providers to ensure quality service delivery.

§ Maintain thorough and organized on-site records to support all accounting functions.

§ Serve as the primary point of contact for tenants and address their inquiries and concerns promptly and professionally.

§ Provide informational and administrative support to site team members to facilitate smooth operations.

§ Assist in the preparation and input of property budgets to align with financial goals.

§ Ensure all activities comply with corporate and legal requirements.

§ Collaborate with Property Accountants regarding property revenues, expenses, and financial reporting.

§ Participate in special projects and additional duties as assigned by the Operations and General Manager.

§ Assist with preparing contract and updating contract tracking.

§ Implement cost-saving initiatives and strategies to optimize property management efficiency.

Required Qualifications:

§ Post-Secondary Education in Business with a major in accounting preferred.

Skills & Experience Required:

§ Prior experience in the Property Management or Real Estate field is a significant asset.

§ A minimum of 5 years' experience in an accounting or administrative role, with demonstrated proficiency.

§ Strong written and verbal communication skills, along with exceptional interpersonal abilities.

§ Solid accounting education and experience.

§ Highly organized, with a keen eye for detail.

§ Self-motivated with the ability to work independently as well as collaboratively within a team environment.

§ Ability to manage multiple tasks and continuously adjust priorities as needed.

§ Willingness to accept additional responsibilities beyond specific duties to support the management team.

§ Enthusiastic attitude and a strong desire to learn and grow in the role.

§ Experience with Yardi, Nexus, ServiceEdge software is a definite asset, as well as proficiency in the Microsoft Office - Word, Excel, and Outlook.

§ Must be able to provide a Clear Criminal Record Check.
