The salary range for the position of the Payroll/Benefits/Financial Clerk is $45,000 - $55,000 annually.

Job Description

This incumbent is responsible for monitoring and processing all financial and payroll transactions of Essemm Professional Services Inc (Sullivan Mahoney LLP). This position will engage in effective cross-functional management with members of other departments and supervisors. The Payroll/Benefits/Financial Clerk is responsible for providing benefit administration, and excellent customer service. Staff interaction and communication is necessary in order to provide accurate information to both external and internal clients.

Key Responsibilities include but are not limited to:

Financial and Regulatory

  • Overseeing and ensuring accurate entry and posting of all transactions for the company;
  • Monitoring and controlling accounting computer programs and reports;
  • Implementing and controlling the petty cash system;
  • Reconciling all corporate asset purchases and billing;
  • Resolving any errors in the accounting process;
  • Responding to inquiries and reports from co-workers and lawyers;
  • Month end bank reconciliation;
  • Making appropriate remittances to government agencies and ensures the Company complies with applicable legislation;
  • Assisting Accounting Supervisor and administrator in completing annual financial statement preparation;
  • Willing to be called upon to provide temporary relief for Accounting Supervisor during absences;
  • Performs such further and other duties as may be assigned and / or required from time to time.

Payroll and Benefits

  • Completes all payroll processes for all employees;
  • Records and maintains records of attendance and vacation for all staff ensuring we are all in compliance with ESA;
  • Prepares all necessary payroll documentation of new employees, students and associates;
  • Administers plan and enrolls staff and lawyers in group benefits plan;
  • Makes appropriate remittances to government agencies and ensures the Firm complies with applicable legislation;
  • Keeps abreast of any changes in specialty area and is quickly able to adapt to procedures to suit;
  • Fosters an environment where other staff feel comfortable in asking for assistance and advice;
  • Can be called upon to assist with planning and development of new projects and act as a representative of the Firm with external agencies and clients with confidence.

Qualifications

  • Completion of formal introduction to accounting and payroll courses at the college level or equivalent combination of education and work experience;
  • 1-2 years' experience in a legal accounting environment preferred;
  • Excellent communication skills, problem solving skills and interpersonal relations is required;
  • Advance computer skills are required with Microsoft Suite of programs the firm uses, experience with Excel spreadsheets and PC Law is essential;
  • Demonstrates willingness and ability to resolve routine situations immediately using tact;
  • Must be able to work independently, multi-task and prioritize complex assignments in a fast-paced environment;
  • Organizational skills must be exceptional;
  • Must be able to meet daily, weekly, monthly deadlines while working with regular interruptions.
