Role Description

Working as part of the Oakridge Park team, the Senior Property Administrator will report directly to the Director. The successful incumbent will be responsible for providing accurate and timely administrative/accounting support and excellent customer service to our tenants. This role is based on-site out of Oakridge Park, Vancouver, BC.

Responsibilities

  • Accounts payable - code, verify and input invoices to ensure they are processed in timely manner, including tracking and monitoring the utility accounts.
  • Accounts receivable - Responsible for supporting rent collection, cheque posting, and reviewing monthly recurring billings.
  • Future supervision of site property administrator team.
  • Liaise with tenants for escalated collection of accounts receivables and reconcile accounts. Analyze statement of accounts and ensure accuracy of posted rental charges and payment receipts.
  • Complete the analysis of financial statements for preparation and posting of monthly reports.
  • Assist with the creation and oversight of multiple databases, including but not limited to, percentage rent and sales, master tenant summary listing, master percentage split trackers, etc.
  • Provide administrative support with the preparation of budgets, reforecast, and data management.
  • Perform administrative functions related to property management and analysis of leases.
  • Administer lease related payments, such as tenant allowances and tenant chargeback.
  • Prepare and distribute tenant communications such as memos, notices, letters, minutes and manuals.
  • Oversee percentage rent and sales overage tracking and following up accordingly.
  • Liaison with lease administrators and distribute annual rental notices as well as year-end adjustment notices to ensure that terms of the lease agreement are met.
  • Build relationships with tenants, providing prompt follow-up solutions and acting as their first point of contact, provide prompt follow-up and communication for dealing with tenant matters.
  • Work with Operations team to maintain and update service contracts database and ensure service agreements and purchase orders are entered into Yardi.
  • Assist in preparation of various monthly, quarterly and annual reports.
  • Correspond with tenants to ensure accurate insurance certificates are in place and renewed annually.
  • Oversite of any future projects as required.

  • Other related duties as required by the Director.

Experience and Qualifications

  • High school diploma supplemented with some post-secondary in business, real estate, or accounting
  • 2+ years of property administrator experience in property management and/or real estate property accounting role, or 4+ years’ experience in an administrator role with a desire to work in the real estate industry
  • Proficient with principles of accounting ideally with 2 years’ accounts receivable/payable hands-on experience
  • Proficient in Microsoft Office & Excel. Knowledge in Yardi an asset.
  • Ability to develop and sustain cooperative working relationships
  • Strong time management skills with the ability to effectively manage tight deadlines and work under pressure to achieve quality results
  • Ability to communicate effectively and professionally, both oral and written with owners, tenants and team members
  • Ability to perform with exceptional integrity, always striving to do the right thing and help to create an environment built on trust, honesty, and respect.

The expected annualized base salary range for this role is $68,000 to $80,000.


The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, education and training, the market compensation of the role, and the consideration to internal equity.
