An exciting opportunity has arisen to join one of QuadReal's Property Management teams as a Property Administrator. QuadReal prides itself on helping tenants and residents achieve their goals. We strive to create a welcoming community for tenants, residents and their visitors and will help support them to achieve their sustainability goals, whether those are formal reduction targets or just living well. Reporting to the Property Manager the Property Administrator will help provide that service through administration support for all aspects of day-to-day activities for a variety of buildings across the lower mainland.

Responsibilities

  • Provide support to the Assistant Property Manager in the day to day activities for buildings in the BC Industrial portfolio.
  • Working closely with the General Manager and Building Operators to develop strong tenant relationships and complete all administrative functions relating to property management
  • Responsible for rent collection, cheque posting and application of money to tenant accounts
  • Processing all vendor invoices (including capital and visa transactions) in Yardi Voyager.
  • Prepare & distribute letters to tenants including welcome packages, rental charges, arrears etc.
  • Liaise with tenants and accounting regarding accounts receivable/payable matters as required
  • Collect and record insurance certificates from tenants
  • Maintain and update security deposit reports
  • Assist Assistant Property Manager to coordinate tenant move-ins and move-outs
  • Organize all building/tenant appreciation events & functions
  • Draft and distribute tenant memorandums
  • Review and ensure tenant information/insurance/manuals/websites are accurate and up to date
  • Read and understand leases to ensure accurate information is received and maintained
  • Record and update tenant information, including phone numbers and emergency contact names
  • Maintain information in property directories
  • Assist assigned property manager directly on various tasks, including preparation of monthly reports to clients.
  • Assist with BOMA BEST certifications and award submissions.
  • Oversee, analyze and follow up on periodic tenant surveys, ensuring distribution of survey on a timely basis and encouraging maximum participation of all tenants.

  • Other duties as assigned.

Experience and Qualifications:

  • Post secondary education supplemented with equivalent experience in business, real estate, or accounting.
  • Relationship Skills - Ability to communicate effectively and professionally, both oral and written with owners, tenants and team members; professional phone manner; mature and self-motivated team player with good conflict-resolution skills; committed to personal growth and integrity aligned with QuadReal's objectives
  • Organizational/Multi-Task Skills - A highly organized individual who has an eye for detail and accuracy. Ability to allocate one's time effectively, work under pressure and manage tight deadlines.
  • 4+ years of experience in an administrative role, experience in property management or real estate an asset
  • Proficient in Microsoft Office
  • Excellent written and oral communication skills
  • Ability to develop and sustain cooperative working relationships
  • Professional phone manner; mature and self-motivated team player with good conflict-resolution skills
  • A self starter, able to allocate one's time effectively and manage tight deadlines
  • Able to work under pressure and achieve quality results
  • Able to handle multiple demands and competing priorities, and adapt to new ideas and constant change
  • An eagerness to share ideas and find opportunities to improve our property management services
  • Results oriented, detail oriented and accurate

The expected annualized base salary range for this role is $55,000 - $60,000

The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual's skill, experience, education and training, the market compensation of the role, and the consideration to internal equity.
