JOB SUMMARY

The Research Manager provides complex research, administrative and operational management for large-scale, collaborative research activities and projects for Division of General Surgery Principal Investigators in the specialist areas of Surgical Oncology, Hepatopancreatobiliary, and Minimally Invasive Surgery at Vancouver General Hospital (VGH). The incumbent manages all aspects of patient recruitment activities, personnel and student appointments, ethics applications and ongoing updates, grant and contract submissions and grant finances and budgets as well as knowledge translation for multiple different studies.

ORGANIZATIONAL STATUS

The UBC Faculty of Medicine Department of Surgery educates students at the undergraduate, graduate and postgraduate levels, and pursues research to make innovative advancements in knowledge and practice to improve health. The Department consists of more than 600 physicians, surgeons, scientists and educators and over 70 administrative, research and technical staff, distributed across British Columbia. There are nine divisions in the following specialties: Cardiac Surgery, General Surgery, Neurosurgery, Otolaryngology, Pediatric Surgery, Plastic Surgery, Radiation Oncology, Thoracic Surgery and Vascular Surgery. The Department is also home to the Branch for Global Surgical Care (BGSC).

The Research Manager reports to Dr. Peter Kim. The incumbent work closely with UBC faculty members, Department of Surgery administrative staff, trainees, funders, VCH/PHSA healthcare staffs and research staffs. Additionally, the incumbent works with research teams in other disciplines and those from collaborating centres such as BCCA, other hospitals in BC, other academic institutions and their affiliated hospitals.

WORK PERFORMED

  • Manages a variety of initiatives for the overall research management including clinical trials for three research units: Surgical Oncology, Hepatopancreatobiliary, Minimally Invasive Surgery.

  • Manages contracts and data sharing agreements with sponsors and/or collaborating sites.

  • Manages and oversees research grants and trainee fellowships to ensure funds are used in accordance with budget and policies and within funding periods.

  • Prepares budget forecasts, budget estimates for grants, financial reports and other required financial documents for accounts within UBC and PHSA. Resolves any financial issues or problems that may arise.

  • Advises and provides training on a variety of UBC policies and procedures to PIs, research team members and trainees.

  • In collaboration with the PIs, develops, facilitates and implements research project designs, goals, and timelines. Establishes workflows and standard operating procedures related to research logistics, document management, and follow-up activities.

  • Creates grant applications, ethics applications and regulatory submissions.

  • Provides ideas and support for report writing, grant applications, manuscript development, and presentations to key stakeholders.

  • Develops and manages research administrative workflows for the PIs to ensure smooth operations.

  • Manages on-boarding and off-boarding procedures for coop students, Research Assistants, and trainees.

  • Trains and provides supervision to research team members.

  • Manages research ethics and databases. Oversees the accurate preparation and release of data to investigators for research. Ensures accurate and detailed research and data records are created, implemented and maintained.

  • Coordinates the acquisition of research data from multiple sources and individuals.

  • Coordinates the tracking of research progress according to project plans, and assists PIs to identify, problem solve and remove barriers to successful research project completion.

  • Monitors and communicates research project status by providing up-to-date financial statements and milestone progress reports to stakeholders.

  • Organizes and leads all research meetings (research unit meetings and project-specific meetings), manages agenda, minute recording and follow up on action items.

  • Coordinates the strategic development of knowledge translation activities, including patient engagement events.

  • Seeks, develops, leads and monitors initiatives to promote equity, diversity and inclusion.

  • Provides guidance and training regarding UBC financial procedures.

  • Contributes to a respectful, inclusive working environment.

WORKING CONDITIONS

The workspace is in a standard office environment based at VGH.

CONSEQUENCE OF ERROR/JUDGEMENT

This position exercises professional judgement and initiative in the management of various research activities and projects. Failure to plan or follow up on initiatives and poor judgment or errors would have an adverse effect on the research productivity and operational management of the projects. Failure to act in a professional, tactful manner would have an adverse effect on relations with various UBC and healthcare departments and relations.

Errors or incorrect decisions in ascertaining, interpreting, applying and communicating guidelines and policies could seriously compromise the quality of the research and result in delays in completing projects. Inability to complete work at a high level of accuracy and efficiency may adversely affect the quality and significance of the research and the reputation of the PIs. Activities such as database documentation of maintenance and access, research and support for both internal and external researchers are all critically dependent on the security and privacy of information systems that have been developed and are maintained. Any breach in confidentiality or data security would place the future of the research project at risk. Inadequate documentation, organization, communication, and planning may adversely affect the credibility and ability to secure future funding of investigators, staff and trainees.

SUPERVISION RECEIVED

The Research Manager reports to Dr. Peter Kim. The incumbent works independently under general direction.

SUPERVISION GIVEN

None. However, the Research Manager will train and provide functional direction to staff and trainees.

MINIMUM QUALIFICATIONS

  • Undergraduate degree in a relevant discipline plus a minimum of two years of experience or the equivalent combination of education and experience.

  • Willingness to respect diverse perspectives, including perspectives in conflict with one's own.

  • Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion.

PREFERRED QUALIFICATIONS

  • At least two years of experience working in clinical research management including familiarity with UBC Workday and research ethics (RiSE).
  • Experience working in an acute care environment in a health or social services position preferred, ideally with cancer patients.
  • Ability to develop, implement and work with large clinical, research or administrative databases, specifically RedCap.
  • Knowledge of qualitative and/or quantitative research methods applicable to health and/or partnered research.
  • Knowledge of and experience in qualitative data collection, interviewing, and conducting literature reviews.
  • Ability to exercise judgment, tact, discretion, and diplomacy.
  • Excellent interpersonal skills, along with the ability to work both independently and as part of an interdisciplinary team.
  • Ability to effectively manage multiple assignments, and organize and prioritize workload under pressure to meet deadlines without compromising the quality of outcomes or accuracy of data.
  • Demonstrated problem-solving and analytical skills.
  • Proficiency with Microsoft Office.
  • Ability to communicate effectively and accurately, both verbally and in writing, in English.
  • Ability to deal with a diversity of people in a calm, courteous, and effective manner.
  • Ability to understand and apply policies, procedures, and instructions.
  • Experience in research administration and financial management.
  • Ability to occasionally adjust working hours to facilitate deadline-related work.
