Under the direction of the Controller, the Payroll and Benefits Administrator will be responsible for the accurate and timely processing of payroll, performing various clerical and accounting tasks such as data management, and keeping employee information that is relevant to payroll purposes up to date. The Payroll and Benefits Administrator is also responsible for administering Magnum's benefits programs and responding to employee inquiries. The Payroll and Benefits Administrator is a member of the accounting team and provides support to other roles within the department as required.

Job Responsibilities

  • Coordinate payroll activities to ensure pay data is compiled, processed, and reconciled in an accurate and timely manner in accordance with established schedules, company polices, and government legislation.
  • Respond to requests from employees, managers, and others on policies and procedures, investigate and resolve pay-related enquiries and requests for ad hoc reports and information.
  • Process all payroll transactions through Ceridian and identify routine and/or recurring processing problems/issues and seek to resolve these in a timely manner. Refer complex processing problems or issues to others for resolution.
  • Generate payroll run; prepare files for bank transfers/cheques, journal entries, third party payments. Reconcile GL accounts to ensure accuracy of processed data.
  • Prepare payroll for bonus programs, severance, termination, and new hires. Perform off-cycle payrolls as required.
  • Prepare and maintain records of employment, as required.
  • Collect remits and report assessable earnings/remittances to WCB as required.
  • Accurate management of vacation accrual, entitlement, requests, reconciliation, and tracking.
  • Prepare year-to-date information for T4 and T4A slips, reconcile payroll earnings and deductions, make year-to-date adjustments, load PA data, and ensure statements are processed and filed within required CRA deadlines.
  • Review payroll processes for accuracy and reasonableness and take initiative to improve upon efficiency of processes. Participate in recommendations for system enhancements and changes. Participate in system enhancement testing. Maintain proficiency in payroll legislation related to wage/salary and tax law amendments.
  • Ensure that audit controls and procedures are followed to avoid fraudulent payroll and ensure compliance with legal and government requirements. Remit government statutory deductions within required timelines to ensure Magnum meets legislated remittance deadlines.
  • Review and enter timesheets. Ensure compliance with company policies and provide quality control for payroll entry.
  • Support Accounting Team where required with A/R and A/P tasks.
  • Process enrollments, terminations, and changes through Great-West Life's GroupNet for Plan Administration.
  • Monthly monitoring of eligibility for health, dental, disability, and insurance benefits for new hires, rehires, or those with status changes due to qualifying events.
  • Assist employees with general benefit questions and educate members on how to use their benefits, submit claims, etc. Troubleshoot employee benefit questions and claim issues with provider as necessary.
  • Reconcile monthly billing for benefits carriers and deductions from payroll for employee-paid premiums.
  • Assist in development and distribution of plan-related employee communication materials.
  • Coordinate with benefit providers on short-term and long-term disability claims.
  • Participate in training and development activities.
  • Other related duties as required.

Qualifications - Required

  • Minimum of 2 years Payroll experience in a fast-paced environment.
  • Able to work overtime ad needed.
  • Legally
    eligible to work in the country the role is based out of.

Qualifications - Assets

  • Post-secondary education in accounting or Business Administration.
  • Professional certification through Canadian Payroll Association, Payroll Compliance Practitioner Certificate.
