Hybrid Work:
This is a hybrid work position in Calgary, Alberta and requires in-person collaboration at the WestJet Campus (22 Aerial Place NE) 3 days per week. This provides flexibility the remaining 40% of the work week. This hybrid work plan allows for critically important learning, collaboration and networking with our colleagues. Specific days in the office are agreed upon by the team.

The Coordinator, Accounts Receivable, is responsible for managing accounts receivable for the WestJet Group and WestJet Cargo. The coordinator must remain responsive and adaptable to high-volume invoice generation with increasing complexity. Collaboration with team members for improvements and support for ad-hoc projects or other functional duties is essential. High diligence, with a demonstrated ability for accuracy, timeliness, and completeness is required in daily tasks. This role involves identifying continuous improvement opportunities to enhance efficiency and reduce costs. The Coordinator, Accounts Receivable is a strong team-player that is goal driven to contribute to individual, team, and company success.

Main Duties:

  • Manage and respond to clients and internal queries regarding invoicing and payment.
  • Apply accounting principles to initiate invoices, billing discrepancies, and collections
  • Prepare and issue invoices to customers from multiple systems
  • Deposit cheques and take credit card payments via Genesys Telephony system
  • Record and apply incoming payments from customers
  • Perform daily bank reconciliation for accounts receivable related transactions
  • Evaluate application forms, setup, and amend of customers' accounts in the systems
  • Proactively follow up on outstanding receivables and address delinquent debt
  • Communicate with internal business units to resolve operational issues and make adjustments.
  • Retain documentation in compliance with internal audit requirements and standards
  • Monitor and manage outstanding aging balances, credit balances, and refunds
  • Generate monthly reports to ensure accountability and highlight actionable items
  • Identify and implement improvements to processes and procedures.
  • Maintain proper documentation for assigned processes
  • Initiate and lead ad-hoc projects or related duties as required

Experience & Qualifications:

  • 3+ years' experience Accounts Receivable and collection experience.
  • A certificate or degree in accounting is preferred.
  • Proficiency with ERP software and applications; SmartKargo, JDE Oracle experience preferred.
  • Intermediate skills with general Microsoft applications; advanced excel required.
  • Excellent interpersonal communication skills and self-motivation.
  • Experience with Aviation industry, Cargo or freight receivables is an asset.
  • Understanding general accounting principles is an asset
