The Wilder Institute/Calgary Zoo is seeking a full-time permanent Accounting Technician to work alongside our Finance team. The Accounting Technician is responsible for ensuring that the accounts receivable and accounts payable for the organization are tracked, reconciled, payments processed, and invoices delivered.

What you will do:

Accounts Payable (AP):

  • Process all routine invoices for payment through the Papersave approval system and import into the Financial Edge NXT accounting system.
  • Process non-routine invoices/credits related to foreign currency and construction billings within NXT.
  • Process all manual payment requests and employee expense reimbursements.
  • Support non-finance users in operating Papersave to review/approve invoices.
  • Process cheque and EFT payment runs.
  • Contribute to the development of EFT payment policies and procedures.
  • Maintain AP module within the accounting system.
  • Reconciliation of vendor accounts.
  • Manage internal and external customer queries pertaining to AP.
  • Other duties as assigned.

Accounts Receivable (AR):

  • Importing of event clients and invoices from the Caterease event management system.
  • Process all manual invoice/refund/credit memo requests.
  • Taking client payments in a timely fashion.
  • Recording of deposits and cash receipts.
  • Maintain AR module within the accounting system.
  • Collection of client accounts.
  • Manage internal and external customer queries pertaining to AR.

Other Responsibilities:

  • Monthly sub-ledger reconciliations for both Accounts Payable and Receivable.
  • Liaising with internal stakeholders, investigating and resolving discrepancies as needed.
  • Communicating with internal and external contacts via phone or email.
  • Prepare and/or import journal entries as needed.

What you will bring:

  • At least 3 years of experience in a high-volume accounting environment, specifically with Accounts Payable, Accounts Receivable, and Accounts Reconciliations
  • College diploma in accounting is preferred.
  • An equivalent combination of experience and education will be considered
  • Familiarity with computerized accounting systems - preferably Blackbaud's Financial Edge NXT and Papersave System
  • Experience in computerized cash handling
  • Experience with an electronic accounts payable invoice approval system
  • Word processing and spreadsheet application experience at an intermediate level
  • Well-developed organizational and communication skills

Working Conditions:

  • Extensive time seated and working at a computer terminal.
  • Use of filing cabinets to maintain files and occasionally refers to boxed files (on site and in storage) to address inquiries.

The Wilder Institute/Calgary Zoo is an outdoor facility and all staff working at the zoo must be comfortable working in a large variety of outdoor conditions. The Wilder Institute/Calgary Zoo follows the advice of Environment Canada when responding to temperature and air quality issues.
